Payment

A deposit of £150 (GBP) per person is required to book your tour/experience. A 24-hour 'cooling off' period will be activated at the time of confirmation from HARP (via email) of your purchase/payment of deposit; any cancellation within this period must be made in writing (via email) and received prior to the end of the cooling off period. Refunds (minus transaction fees incurred by HARP) will be provided within 14 days of the end of the cooling off period. After the 24-hour cooling off period has ended, your deposit will be non-refundable. The balance of your tour or experience will be due not less than 42 days before the start date of your tour or experience and details of how to pay the remaining balance will be provided in a confirmation email once your tour or experience has been booked and a deposit paid. Full payment is required if your tour or experience starts within 28 days of booking. 

Inclusions

Fees paid for the tour or experience cover transport to all activities on the tour or experience, all applicable entrance fees, all meals (excluding breakfast on Day 1 and evening meal on Day 3 or Day 5), and soft drinks with meals, unless you have chosen the ‘no accommodation and meals’ option. If you have chosen the ‘no accommodation and meals’ option, your fees cover your transport to all activities on the tour or experience, all applicable entrance fees and only lunches with the group. The fees paid for the tour or experience do not include flights, transfers or alcoholic drinks, which must be arranged and paid for separately by the individual. For those who have chosen ‘no accommodation and meals’, the fees do not include transport to the designated meeting areas each morning nor back to your accommodation at the end of each day.

Accommodation

Accommodation booked as part of your package will be provided in the Cross Keys Hotel in Kelso and Burts Hotel in Melrose. If, due to unforseen circumstances, these accommodation options are unavailable during your tour or experience suitable, alternative, equivalent 3* rated accommodation will be provided in either the centre of Kelso, Melrose, or St Boswells. 

Transport and Luggage

Pick-up and drop-off (at the start and end of the tour or experience), transport between acticvities, and transport to and from accommodation (provided with your booking with us) will be provided in a 9-seater minibus/people carrier. There is capacity for luggage to be transported with you between accommodation and activities but note that due to capacity and storage space in the transport vehicle this will be limited to 20kg per person for large bags.

Charges

HARP reserves the right to pass on to you (the customer) any bank charges and other costs incurred if payment is made in a currency other than British Pounds or by any other method not normally accepted by us.

Insurance

It is a requirement on acceptance on the tour or experience that you are responsible for organising your own travel insurance to cover flight cancellations, personal property and medical expenses.

Health and Fitness

Bookings are accepted on the understanding that people undertaking a tour or experience with HARP are in good health and have an appropriate level of fitness for the chosen itinerary. The tour/experience will involve a lot of time in the outdoors, with short walks (including uphill sections) to access sites and activity locations. If anyone going on the tour or experience is disabled or has any medical problem that may affect their safety or ability to participate on the tour or experience, you must provide HARP with full details before your booking is confirmed. If, in our reasonable opinion, your chosen tour or experience is not suitable for the disability or medical problem in question we have the right to refuse to accept the booking.

Alteration by HARP

HARP will make every reasonable effort to follow the published tours and experiences. We do, however, reserve the right to alter the programme if there are unavoidable conditions such as adverse weather conditions, footpaths closed due to agricultural restrictions or landslip, local site closures, or unforeseen circumstances which prevent access or would be unsafe for participants.

Cancellation By you

If you wish to cancel your tour or experience after the confirmation has been issued and after the cooling-off period, it must be done in writing and the following charges will apply:

Cancellation by HARP

In the event of the group size being too small to run the tour or experience within 42 days of its start, we will offer alternative dates or refund all payments made.

HARP cannot be held responsible for cancellations due to unforeseen circumstances such as war, civil unrest, natural disaster, pandemic or any other situations beyond our control.

Covid-19

HARP will maintain safe working practices and follow all local regulations and restrictions regarding Covid-19, and it is essential that all participants follow all requirements that are in place at the time of the tour or experience regarding travel and testing (at both departure and destination points).

Liability

HARP cannot accept responsibility for any loss or damage to personal effects which is beyond our control. This includes loss, damage, fatality or any other injury suffered by you during your tour or experience, except where HARP is proven to be either in breach of it's contractual duties or to have been negligent. HARP cannot accept responsibility for any services that do not form part of our contract. This includes, for example, any additional services or facilities that your accommodation or any other supplier agrees to provide for you where the services or facilities are not advertised by us and we have not agreed to arrange.

HARP are covered for Tour Operators Liability Insurance (Touchstone Unbderwriting Limited), underwritten by AXA XL Insurance Company UK Limited; HARP are covered by Insolvency Protection for Passengers to comply with the Package Travel & Linked Travel Arrangements Regulations 2018 (All Seasons Underwriting Agencies Ltd) underwritten by Evolution Insurance Company Ltd.

Customer Conduct

We reserve the right to refuse a clients’ participation on any tour or experience if it is considered that they are either a danger to themselves or others.

Complaints

Any complaint should be discussed with your HARP representative/guide as soon as possible and we will endeavour to find a solution which is acceptable to all parties involved.

We both agree that Scottish law (and no other) will apply to your contract and to any dispute, claim or other matter of any description which arises between us.
